Recruiting manpower from Nepal involves a structured process designed to protect the interests of both international employers and Nepali workers. Foreign employers interested in hiring workers from Nepal should work through a government-licensed manpower recruitment agency authorized to carry out foreign employment recruitment.

ZOOM International Pvt. Ltd. works with international employers and recruitment partners to coordinate the recruitment and deployment of Nepali workers in accordance with the applicable laws, regulations, and procedures of Nepal and the destination country.

The process generally begins when an employer provides an authenticated manpower demand to ZOOM International Pvt. Ltd. The agency then coordinates the required approvals and recruitment procedures with the relevant authorities in Nepal.

1. Employer Sends the Manpower Demand

The employer provides details of the required manpower, including:

  • Job categories and number of workers required
  • Required qualifications and experience
  • Salary and employment benefits
  • Contract period
  • Working hours and overtime provisions
  • Food and accommodation
  • Medical facilities and insurance
  • Airfare and other applicable benefits
  • Other terms and conditions of employment

The recruitment documents must be prepared and authenticated according to the requirements of the destination country and the applicable procedures in Nepal.

2. Authentication of Recruitment Documents

Before recruitment can proceed, the employer must provide the necessary documents for the recruitment approval process.

Depending on the destination country, documents may need to be authenticated by the relevant Chamber of Commerce, Ministry of Foreign Affairs, labor authorities, and/or the Embassy of Nepal in the country of employment.

Where required, the relevant authorities may also verify the employer, workplace, accommodation, or labor facilities before approving the recruitment demand.

If the employer has appointed a recruitment agency in the destination country, additional documentation, such as an agreement between the employer and the local recruitment agency, may also be required.

3. Demand Letter

The employer issues an official Demand Letter in favor of ZOOM International Pvt. Ltd. The document should clearly state the manpower requirements and employment conditions.

The Demand Letter generally includes:

  • Number of workers required by category
  • Job titles and job descriptions
  • Salary and currency
  • Contract duration
  • Working hours
  • Overtime provisions
  • Food and accommodation
  • Medical benefits
  • Insurance
  • Airfare
  • Other applicable employment benefits

The document must be properly signed, stamped, and authenticated according to the requirements of the relevant authorities.

4. Power of Attorney

The employer provides a Power of Attorney authorizing ZOOM International Pvt. Ltd. to carry out the necessary recruitment activities on its behalf.

Depending on the terms of authorization, this may include arranging interviews and skill tests, coordinating candidate selection, completing recruitment documentation, submitting passports and visa-related documents, and making arrangements for workers to travel to the destination country.

The Power of Attorney must be properly authenticated according to the applicable procedures.

5. Consular or Authority Letter

For destinations where such documentation is required, the employer provides an official letter confirming that ZOOM International Pvt. Ltd. is its authorized recruitment representative.

The letter may include relevant visa information and authorize the agency to coordinate visa-related submissions and documentation with the appropriate diplomatic mission or government authority.

6. Agreement Between Employer and Recruitment Agency

An official agreement is established between the employer and ZOOM International Pvt. Ltd. This agreement defines the terms and responsibilities of both parties in relation to the recruitment and supply of Nepali manpower.

It may cover matters such as:

  • Recruitment responsibilities
  • Manpower requirements
  • Candidate selection
  • Service arrangements
  • Documentation
  • Employment conditions
  • Responsibilities of both parties
  • Other terms agreed between the employer and agency

7. Employment Contract

The employer provides an employment contract outlining the terms and conditions offered to the selected workers.

The contract generally specifies:

  • Position and duties
  • Basic salary
  • Working hours
  • Overtime
  • Contract period
  • Accommodation
  • Food or food allowance
  • Medical facilities
  • Insurance
  • Leave and other benefits
  • Other conditions required under the applicable labor laws

The selected worker signs the employment contract after reviewing and accepting the applicable terms.

8. Employer Guarantee Letter

Where required, the employer provides a Guarantee Letter confirming its responsibility toward the recruited workers.

The letter may confirm that workers recruited under the approved demand will be employed by the stated employer and in accordance with the agreed employment terms.

The document must be signed and stamped by the authorized representative of the employer and authenticated where required.

9. Recruitment Approval in Nepal

Once the required employer documents are received, ZOOM International Pvt. Ltd. submits them to the relevant government authorities in Nepal for recruitment approval.

After the required approval is obtained, the vacancy can be announced through the appropriate channels in accordance with the applicable foreign employment procedures.

10. Candidate Sourcing and Shortlisting

After approval, ZOOM International Pvt. Ltd. begins sourcing candidates through its database, recruitment network, advertisements, and other appropriate channels.

Applicants are assessed according to the employer's requirements. Their qualifications, skills, experience, and other relevant criteria are reviewed before suitable candidates are shortlisted.

11. Interview and Skill Test

Shortlisted candidates are invited for interviews and, where applicable, practical or trade tests.

The employer may conduct the final interview and skill assessment directly in Nepal. Alternatively, the employer may authorize ZOOM International Pvt. Ltd. or its representatives to conduct the initial selection according to predetermined criteria.

For technical positions, candidates may be tested in their relevant trade to confirm their practical skills and experience.

12. Medical Examination

Candidates who are selected must undergo the required medical examination at an authorized medical institution according to the requirements of Nepal and the destination country.

Depending on the destination, the medical examination may include screening for communicable diseases and other health conditions specified under the applicable regulations.

Only candidates who meet the required medical standards can proceed with the remaining recruitment and visa procedures.

13. Submission of Candidate Documents

For medically fit and selected candidates, ZOOM International Pvt. Ltd. coordinates the required documents with the employer or authorized recruiting partner.

These may include:

  • Passport copy
  • Candidate biodata/CV
  • Photographs
  • Medical fitness certificate
  • Interview or skill-test records
  • Employment documents
  • Other documents required for visa processing

14. Visa and Work Authorization

The employer submits the selected candidates' documents to the appropriate government authority in the destination country to obtain the required work authorization, entry permit, visa approval, or other applicable documentation.

Once the relevant approval is issued, the employer or recruiting partner forwards the necessary visa information and documents to ZOOM International Pvt. Ltd.

For countries with additional embassy or consular procedures, ZOOM coordinates the required visa endorsement and documentation according to the applicable process.

15. Final Government Formalities

After receiving the required visa or work authorization, ZOOM International Pvt. Ltd. completes the remaining documentation and approval procedures in Nepal.

Where applicable, visa endorsement, passport submission, government approval, and other required formalities are completed before the worker is cleared for departure.

16. Travel and Flight Arrangements

Once all required approvals and documentation are completed, travel arrangements are made for the selected workers.

ZOOM International Pvt. Ltd. coordinates the flight schedule and provides workers with the necessary travel information and documents before departure.

17. Pre-Departure Orientation

Before leaving Nepal, workers receive appropriate guidance regarding their employment, travel arrangements, destination country, workplace expectations, and other important matters.

The objective is to help workers understand their responsibilities and prepare properly for their journey and employment abroad.

18. Departure and Arrival

Workers travel to the destination country according to the approved flight schedule. The employer or its authorized representative receives the workers at the destination airport and arranges their onward transportation and placement at the workplace.

The workers are then employed according to the agreed Demand Letter, employment contract, and applicable laws and regulations.
